New integration: Wise up your workflows with KnowledgeOwl + Zapier

Automations and workflows just got a whole lot easier. You can now integrate thousands of other apps to streamline your workflows with our new and improved Zapier integration (no code required).

⚡️ But first, what is Zapier?

Zapier is a tool that helps connect different apps and create automated workflows. There are both free and paid plans available.

In Zapier, single workflows are called Zaps, which are made up of triggers and actions. Triggers are events that start a Zap (like changing an article status). Actions are events that a Zap performs (like sending an email).

There are almost 7,000 apps in Zapier’s app directory. All apps in the directory have official Zapier integrations that are built and maintained by either the app’s developer or a Zapier "Trusted Developer" consultant.

KnowledgeOwl integrations 🦉

You can use the new and improved official KnowledgeOwl integrations app to create your own Zaps and automations using any of the supported triggers and actions.

As of November 2023, there are currently eight supported triggers:

  1. Article Create
  2. Article Publish
  3. Updated Callout
  4. Contact Form Submit
  5. New Callout
  6. Article Status Change
  7. Comment Submit
  8. Create Article

With the KnowledgeOwl integrations app, you can create Zaps based on any of these triggers that will automatically perform an action in another app. For example, you could send a message to a Teams channel whenever a new callout is added to an article.


Also, you can use the "Create Article" Action to automatically create KnowledgeOwl articles from a trigger in another tool. For example, you can create a Zap that will automatically create a KnowledgeOwl article from an email.


It is also possible to use Zapier’s own apps, such as Webhooks by Zapier, to integrate with the webhooks and APIs of products that do not have an official Zapier integration. This is how some of our customers have used Zapier to automate things like adding all contact form submissions to a Google sheet or updating files in a library when the file changed in another system. This method requires some familiarity with webhooks and APIs, and it can get a bit tricky, so proceed with caution. Webhooks by Zapier is a premium integration, which means that you need a paid Zapier account to use it.

💡 How the KnowledgeOwl team uses Zapier

Our team is pretty familiar with Zapier and we use it internally to automate workflows and streamline processes at KnowledgeOwl. It's helped us solve a number of business problems and build integrations without requiring our development team.

Here are a few of the ways we use Zapier to help provide KnowledgeOwl software and service to our customers:

  • QuickBooks + Slack: When an invoice is marked as paid in QuickBooks, alert our team in the #billing channel.
  • Stripe + HubSpot: When a new account is created in Stripe, add the trial to HubSpot for our welcome and onboarding emails.
  • Google Calendar + Calendly + Help Scout: When a new event is created on our support calendar or a new event is scheduled in Calendly, create a new conversation in Help Scout so we can follow up with the customer(s).
  • Help Scout + Slack: Send daily and weekly messages to our #support-reporting channel to let us know how many customers each support owl has helped.

How you can use KnowledgeOwl and Zapier 🤓

The possibilities are practically endless, but here are some of the ways we foresee our customers using KnowledgeOwl + Zapier to streamline their processes:

  • Workflow notifications: When a trigger event happens in KnowledgeOwl, automatically notify individuals or teams using their existing tools and workflow.
    •  Triggers: article publishing status change ("Draft" → "Ready to Publish", "Published" → "Needs Review", etc.), article created, article published
    •  Actions: send an email; send messages via Slack or Teams; create a task in Asana, Jira, or Trello
  • Automatic article creation:  When a trigger event happens in another tool, automatically create an article in KnowledgeOwl and notify an individual or team
    • Triggers: row is added to a Google Sheet or Microsoft Excel spreadsheet; survey or form is completed in Alchemer, SurveyMonkey, or Wufoo; task is completed in Jira, Asana, or Trello
    • Actions: create an article in KnowledgeOwl and notify an individual or team via their preferred communication tool
  • Contact form and comment integrations:
    • Triggers: contact form or comment is submitted
    • Actions: create a ticket or conversation in your help desk or project management tool (e.g. Help Scout, HubSpot, Zendesk, Asana, or Jira).

Here are some other integrations we've seen:

  • Salesforce + KnowledgeOwl: Export a list of knowledge articles from Salesforce and use Zapier Transfer to migrate all of those articles into KnowledgeOwl using our "Create Article" action.
  • KnowledgeOwl + Google Sheets: Add all contact form submissions to a Google Sheet for backup, troubleshooting, and reporting.
  • Jira + KnowledgeOwl: Create a KnowledgeOwl article from a completed Jira ticket.
  • Alchemer + KnowledgeOwl: Create a KnowledgeOwl article from a completed Alchemer survey or form.
